2. Information we collect

Request PDA and contact forms: company name, contact name, e-mail, telephone/WhatsApp, vessel name, IMO number, port, ETA, service required, cargo or vessel type, free-text message and any optional file you attach.

Technical and anti-abuse data: a short-lived, irreversible token derived from the network origin of a submission, kept only to prevent automated abuse and discarded after 24 hours.

Analytics data: aggregated, non-identifying usage measurement, collected only after you accept analytics cookies.

3. Why we process it

To qualify, respond to and execute port agency, husbandry and owners' protective requests submitted to us.

To communicate operational and commercial information related to your enquiry, including an automatic acknowledgement of receipt.

To keep records required for legitimate business, compliance, sanctions-screening and accounting purposes.

To protect the website against automated abuse and to measure aggregate website performance where consent has been given.

4. Legal bases (LGPD)

Processing is based on your consent, on the performance of, or preliminary steps to, a contract, on compliance with legal and regulatory obligations, and on our legitimate interest in operating and protecting this website — as applicable to each activity described above.

5. Sharing

Information is shared only where necessary to deliver the requested service: with port authorities, terminals, service providers and sub-agents involved in the specific call, and with technology providers that host our website, database and e-mail delivery under contractual confidentiality obligations.

We do not sell personal data and we do not use submitted contact details for marketing campaigns.

6. Retention

Request and correspondence records are retained for as long as necessary to serve the enquiry and to satisfy applicable legal, tax and compliance retention periods, and are then deleted or anonymised.

Anti-abuse tokens expire automatically within 24 hours.

7. Security

Submissions are transmitted over encrypted connections and stored in access-controlled systems. Uploaded files are held in a private storage area that is not publicly accessible. Access is restricted to authorised NEXUS personnel on a need-to-know basis.

8. Your rights

Subject to applicable law, you may request confirmation of processing, access, correction, anonymisation, portability or deletion of your personal data, information about sharing, and withdrawal of consent.

9. Cookies and analytics

Strictly necessary storage is used to remember your language and your cookie choice. Analytics measurement is loaded only after explicit acceptance and can be changed at any time through the analytics preferences link in the site footer.

10. E-mail communications

Automatic acknowledgements and operational notifications are transactional messages related to your own request. Each message includes a link allowing you to stop further automated e-mail to your address; direct operational replies from our team may still be necessary while a request is active.
